MARKET DAY INSTRUCTIONS

EPSOM INSTRUCTIONS

Instructions for arrival and set up are as follows:
  • Arrival time is from 9am 
  • Postcode to use is KT19 8BA. There is a large clock tower on site so you should be able to see it. The centre of town is a one-way system so whichever way you come into Epsom you will approach the entrance to the Market Place with the clock tower on your right hand side.
  •  Entrance to the market is immediately before the clocktower (do not turn onto the pedestrian crossing which is 50 yards before!)
    You may bring your vehicle onto the market place 
  • Pitches are allocated on arrival and you will be directed by someone in a High Vis Waistcoat.
  • You MUST unload your cars and then move your vehicle immediately to the car park to avoid causing obstruction for others
  • All vehicles must be offsite by 10.15am LATEST 
  • Parking is available at The Ashley Centre 
  • Car Park Height restriction is 2.1/2.2 metres, however, there is further parking available and you will be directed to this
 
You must be ready to trade by 10.30am and we will be inspecting to make sure that all structures are secured and safe.  
 
Safety Guidelines
When driving onto the market place YOU MUST ADHERE to all the following:
Ensure there is someone available in a high visibility vest to escort you on and off the market place
  • Ensure you have your hazard lights on
  • Follow what the person escorting you on and off signals or says
  • Drive at 5mph MAX

Your structure and trading area:
  • You must pitch where you are directed to pitch by a member of the Surrey Vegan Team
  • You must ensure your structure is safe, in good condition and weighted down properly (weights are a requirement regardless of weather forecast) 
  • You must ensure you have checked all electrical and/or gas equipment is in good working order 
  • You must ensure if you are serving food including cakes that you provide matting behind your stall to prevent any staining from any spillages that may occur
 
During the event:
  • Be mindful of any dangers to the public and yourselves, any issues please report immediately to one of the Surrey Vegan Team
  • Clean up or report any spills to a member the Surrey Vegan Team to help clean up or make area safe
  • Be mindful of your fellow traders and report any issues immediately to one of the Surrey Vegan Management Team
  • You can only start to breakdown after 3.30pm or when given the all clear

Breakdown
  • We will give the all clear to start breaking down.
  • You MUST breakdown your stall before bringing any vehicles on to cause minimal obstruction
  • You MUST wait patiently for someone wearing a high vis to guide you on and off site

WALTON ON THAMES INSTUCTIONS

Instructions for arrival and set up are as follows:

  • Arrival time is from 7.45am 
  • Arrival is from Hepworth Way (North Service Yard) - use this postcode to come to right entrance KT12 1GH
  • If you arrive before 7.45am then you MUST WAIT and queue along the North Service Yard Road on the left hand side (drive into the North Service Yard and turn around) so you don't block the entrance and definitely DO NOT BLOCK the main Hepworth Way
  • You may bring your vehicle onto the pavement but you MUST follow the safety guidelines (detailed below)
  • Pitches are allocated on arrival and you will be directed by someone in a High Vis Waistcoat.
  • You MUST unload your cars and then move your vehicle immediately to the car park to avoid causing obstruction for others
  • All vehicles must be offsite by 9am LATEST 
  • Parking is available at The Heart/Sainsbury's and we have a flat rate of £2.50 for the day you pay at the end of the day
  • Once packed up you must go to the pay station and insert the token and then press the HELP button and tell them you are a trader at the Vegan Market they will change the fee due to £2.50 then you can pay (please don’t lose your yellow token as there is a £6 charge for lost tokens!)
  • Car Park Height restriction is 2.1/2.2 metres, however, there is further parking behind Homebase which is pay and display and you can use Ringo Parking App there too

GUILDFORD INSTRUCTIONS

Instructions for arrival and set up are as follows:
  • Arrival time is from 8.00am 
  • The Market is located on the High Street.
  • Access is via A281
  • Use the postcode GU1 3EB or GU1 3DP
  • You may bring your vehicle onto the High Street to unload but you MUST follow the safety guidelines (detailed below) 
  • Pitches are pre-allocated and you will receive an email prior to the day and will be clearly marked out on the pavement in yellow chalk on the day
  • You MUST unload your cars and then move your vehicle immediately to the car park to avoid causing obstruction for others
  • All vehicles must be offsite by 9.30am LATEST after which the barrier will be down so there will be no access 
  • Parking is available at Bright Hill Car Park, which will be closed to the public, it is located at Bright Hill, Guildford GU1 3RU
  • ​Car Parking is a flat rate of £2.50 on Sundays and there are no height restrictions, but please park mindfully.
  • IMPORTANT NOTE: If you arrive later than 9.30am then you may not be able to trade. Note the road will be closed to cars and due to location there are no trolleys and it is on a busy cobbled High Street. 
 
You must be ready to trade by 10.30am and we will be inspecting to make sure that all structures are secured and safe.  

Safety Guidelines
When driving onto the High Street YOU MUST ADHERE to all the following:
  • Ensure you have your hazard lights on
  • Drive at 5mph MAX
  • Be mindful of other traders and any pedestrians 

Your structure and trading area:
  • You must pitch where you are allocated
  • You must ensure your structure is safe, in good condition and weighted down properly with 4 weights min 8kg on each leg (weights are a requirement regardless of weather forecast) 
  • You must ensure you have checked any gas equipment is in good working order 
  • You must ensure if you are serving food including cakes that you provide matting behind your stall to prevent any staining from any spillages that may occur
  • If you are serving food or samples please ensure you have a clearly visible allergens list 
  • Ensure you have cough/sneeze guards if serving any food

During the event:
  • Be mindful of any dangers to the public and yourselves, any issues please report immediately to one of the Surrey Vegan Team
  • Clean up or ask one of the Surrey Vegan Team to help clean up or make the area safe
  • Be mindful of your fellow traders and report any issues immediately to one of the Surrey Vegan Management Team
  • You can only start to breakdown after 4.30pm when given the all clear to do so

  • We will give the all clear to start breaking down, you may not breakdown or leave the market early
  • You MUST breakdown your stall before bringing any vehicles on to cause minimal obstruction
  • Ensure you have your hazard lights on
  • Drive at 5mph MAX
  • Be mindful of other traders and any pedestrians
